JOB FUNCTION:

The Administration & Contracts Manager oversees contract administration and legal operations support for their assigned region. This role is responsible for coordinating contract workflows, supporting negotiation and signature processes, maintaining contract records, optimizing administrative processes, and serving as a key liaison among legal teams, internal stakeholders, and external parties.

DUTIES AND RESPONSIBILITIES:

Contract Support and Management

  • Manage internal requests for contract review and determine the appropriate process flow.
  • Coordinate contract negotiations, approvals, and signature processes to ensure efficiency and accuracy.
  • Collaborate with legal teams, internal departments, and external entities throughout the contract lifecycle.
  • Ensure legal policies and procedures are followed in all contract-related activities.
  • Maintain smooth operational processes that enable business users to complete contract-related work effectively.
  • Provide user support and basic training on legal applications and help resolve system or process issues.
  • Record, file, and maintain all contract documentation in an organized and compliant manner.
  • Report the status of active contract processes to relevant stakeholders.
  • Identify opportunities to improve contract administration workflows, tools, and reporting practices.

 

Legal Operations Support

  • Provide legal operations support to local departments, including coordinating KAVX signatures as requested.
  • Respond to requests and inquiries in a timely, professional manner.
  • Provide backup support for team members during absences, including vacation and illness coverage.
  • Support cross-functional initiatives and other legal operations activities as assigned.

QUALIFICATIONS:

  • Bachelor degree preferred with minimum three years of related experience
  • Experience tracking and managing legal tasks and requests within a global legal department.
  • Experience training personnel at multiple job levels on the use of legal software.
  • Experience with contract management software and related digital tools.
  • Proficiency in Microsoft Office and Oracle, with the ability to learn additional applications and provide user support.
  • Ability to work independently and collaboratively across functions.
  • Highly organized, proactive, and able to take initiative to resolve problems.
  • Excellent verbal and written communication skills.
  • Ability to prioritize and manage multiple tasks simultaneously.
  • Willingness to assist peers in related areas as business needs arise.
  • Ability to maintain confidentiality of company and employee information.
